Self-Initiated Project · Lead Generation / Automation
Project Overview
This project designs a prospecting and lead-generation workflow that combines business data sourcing, automated qualification and structured outreach, built to solve the most common failure point in lead gen: good leads arriving too slowly, or arriving and never being followed up with consistently.
The Problem
Most small and mid-sized businesses generate leads through a mix of channels but manage them manually: a spreadsheet, a shared inbox, a founder’s memory. The cost of that approach isn’t visible until you look at response-time research. Widely cited lead-response studies (including research popularized by Harvard Business Review and lead-management platforms like InsideSales.com) consistently show that contacting a lead within the first five minutes dramatically increases the odds of qualifying it, compared to waiting even 30 minutes, after which conversion odds drop sharply and keep dropping the longer the delay.
Research
- Reviewed lead-response-time research to establish why speed, not just lead quality, is one of the highest-leverage variables in lead generation.
- Mapped a standard qualification framework (fit, intent, timing, budget signal) to separate leads worth immediate human attention from ones that need nurturing first.
- Researched data-enrichment approaches to reduce manual research time per lead, since sales time spent researching a contact is time not spent selling.
Strategy
The system was designed around a simple principle: automate everything up to the point a human judgment call is genuinely needed, and make sure that hand-off happens in minutes, not hours. That meant building automatic routing and qualification scoring before any outreach sequencing.
Execution
- Designed a workflow: new lead captured → automatic enrichment (company size, role, source) → qualification scoring → instant routing to the right follow-up path.
- Built qualification logic based on firmographic and behavioral signals rather than lead source alone.
- Structured a tiered outreach sequence: high-intent leads get immediate, personalized human follow-up; lower-intent leads enter an automated nurture sequence.
- Mapped the workflow for a no-code automation tool (n8n-style), connecting form submissions, a CRM and an enrichment data source.
Tools Used
n8n for workflow automation, CRM structure (pipeline stages and lead scoring fields), and published lead-response-time research for benchmarking.
Key Decisions
Speed beats polish on first contact. A fast, slightly imperfect response consistently outperforms a perfect response that arrives an hour late.
Outcome / Learnings
Result: Full workflow design, qualification framework and automation map completed.
Expected impact: Based on widely published lead-response-time research, moving a business from a typical multi-hour (or next-day) manual response time down to an automated near-instant acknowledgment plus a sub-five-minute human follow-up is one of the most reliably documented levers for improving lead-to-opportunity conversion, independent of lead quality or ad spend. For a business generating leads through any paid or organic channel, this typically means converting a meaningfully higher share of the same lead volume, without spending anything more to generate them.
What I Would Improve
With live lead volume, I’d validate the qualification scoring against actual close-rate data and adjust the weighting rather than relying on a generic framework indefinitely.
Final Takeaways
Lead generation systems are usually judged by volume, but response speed and qualification consistency are the parts businesses actually control most easily, and the parts most commonly left to manual process.
